PROGRAM MANAGER

International Program Manager - PROMS Initiative

Contract: Full time, fixed term contract to Dec 2022 with The Italian MS Society

Location: Italian MS Society head quarter, Genoa, Italy. Additional locations determined by the needs of the business could be considered over the development of the Initiative.

The Multiple Sclerosis International Federation (MSIF) and the European Charcot Foundation (ECF) jointly lead and coordinate the Patient Reported Outcomes for Multiple Sclerosis (PROMS) initiative. The Italian MS Society (AISM), through its Foundation (FISM) acts as the MSIF Lead Agency for, and on behalf of the Global MSIF Movement. The Global Patient Reported Outcomes for MS Initiative (PROMS; https://www.aism.it/proms) is looking for an International Program Manager. The candidate must have excellent experience in International Program Management, preferably in the areas of health care or research. Strong organizational, communication and negotiation skills and excellent English are essential.

 

Dimensions of Responsibility

The role reports directly to the Co-Chairs of the Scientific Steering Committee (SCC) and indirectly to the Chairs of PROMS Executive Committee (EC). It will work closely with an operational team distributed across MSIF, ECF and AISM.

 

JOB DESCRIPTION

CORE ACTIVITIES

 

  • Coordination of an operational team in order to execute activities decided by the Scientific Steering Committee and by the Working Groups to manage various aspects of the PROMS agenda.
  • Proactively propose and develop methodologies to fulfil programmatic needs.
  • Maintain links between Executive Committee and Steering Committee and charged to set relative meeting agendas.
  • Identify and perform appropriate analyses of operational and/or financial nature to support assigned program. Establish systems for the efficient input, throughput, and output of the initiative. Identify problems, trends, and issues requiring action or further review.
  • Maintain and enhance professional growth and development, and improve quality improvement initiatives in effort to keep abreast of the latest trends in field.

 

PROJECT SCOUTING

To identify appropriate funding calls for proposals, assuring compliance with policies and eligibility criteria, to find scientific partners for collaborative projects, support proposals development, and submit application forms on different online portals.

 

PROGRAM MANAGEMENT

  • To build and update the program meetings plan preparing drafts of agenda, minutes and other relevant documents for meeting management.
  • To monitor the program activities and give to the co-chairs the state of play of tasks, deliverables, milestones (Impact indicators and Key Performance Indicators) anticipating the risks and deviation for the Work Plan.
  • To liaise with and coordinate the work of Working Group (WG) Leaders in order to ensure compliance to the program deadlines.
  • To monitor interactions among WGs and support focused meetings whereas needed.
  • To coordinate the writing, editing, production and distribution of all initiative reports (management, and technical) (including early notice and remind of pending deadlines to partners, etc.).
  • With guidance from the chairs of the EC and SSC as required, to create and maintain core program management documents, including timelines, governance documents and budgets.

 

PERSON SPECIFICATION

  • Bachelor's Degree in Scientific disciplines and/or Business Administration is essential
  • A higher research degree, e.g. MSc or PhD in a biomedical, healthcare or health policy topic is desirable
  • A qualification or proven experience in program management practices is essential.
  • Experience in a health research or healthcare related field is essential, experience in patient reporting or patient engagement is desirable
  • English: C1 – Proficient (Listening, Reading, Spoken Interaction, Spoken Production, Writing)
  • Computer technology skills (Word, Excel, PowerPoint, sharing folders (e.g. Dropbox), teleconference platform (eg. GoToMeeting), etc.
  • Excellent communication and interpersonal skills
  • Predisposition to teamwork
  • Proactive and able to solve problems
  • Organised and able to complete multiple tasks and work to deadlines
  • Job flexibility and precision
  • Availability to travel
